Position Purpose

The Property Manager ensures the daily property management functions, including all leasing operations, of a 20-unit, 24-month transitional living facility for survivors of intimate partner violence, sexual assault, stalking, and/or human trafficking. In coordination with program leadership, the Property Manager identifies and resolves property and/or rental agreement violations. In coordination with the Finance team, the Property Manager contributes to the development of the program budget and prepares regular financial records and grantor / stakeholder reports.

Essential Responsibilities

  • Ensure the daily property management functions, including all leasing operations, of a 20-unit, 24-month transitional living facility for survivors of intimate partner violence, sexual assault, stalking, and/or human trafficking;
  • Maintain certification as a Housing Credit Certified Professional (HCCP) through the Low-Income Tax Credit Program (LIHTCP).
  • Work with the Finance team to ensure the timely documentation of income and rental payments as well as property expenses including taxes, insurance premiums, and maintenance costs;
  • Coordinate efforts with program leadership and Facilities to ensure the timely identification, inspection, and correction of unit features;
  • Contribute to the timely identification and resolution of property and/or rental agreement violations;
  • Collaborate with Wayfinders and other community partners to facilitate prospective tenants’ entry to transitional housing as well as existing tenants’ transitions to permanent housing;
  • Deconstruct existing client files for the purpose of separating lease agreements and other property management documents from case management records;
  • Maintain complete, accurate, and timely tenant documentation as well as expense and income records;
  • Prepare regular reports for various stakeholders regarding tenant outcomes, incidents, expenses, occupancy, and expiring leases among other considerations;
  • Model best practices regarding the use and disposal of personally protective equipment;
  • Attend supervision, staff, and other meetings; and
  • Perform other duties as requested.

Qualifications 

  • Associate’s degree plus demonstrated knowledge of rental / leasing agreements, property and anti-discrimination laws, and the MA Rental Voucher Program;;
  • Active HCCP certification;
  • Ability to ensure operational compliance with all housing programs funders;
  • Proficiency with property management systems / platforms;
  • Bilingual (Spanish / English) language proficiency preferred;
  • Understanding of both interpersonal and structural racism and bias;
  • Ability to represent agency in an active union environment;
  • Excellent written and organizational skills including computer skills;

Our programs and services include crisis shelter and transitional housing for survivors and their families, counseling, SAFEPLAN court advocacy, community education, supervised visitation, and vocational training for youth. Position Purpose: 

The Direct Service Advocate (DSA) is responsible for providing support, advocacy and role modeling to adult, teen and child program participants living in the YWCA’s residential programs. DSA’s are part of a team model working with peers, supervisors, clinicians and outside connections to best serve program participants. DSA’s support the agency mission and trauma informed service model in order to provide safe, consistent and quality services to vulnerable populations.

Essential Responsibilities

· Nurture and support a milieu approach that is participant-guided, family-driven, strengths-based, trauma-informed and embraces a framework of empowerment and encouragement, engaging with 100% of individuals and families that are on-site each shift.

· Encourage and support the development of life skills, positive parenting and improved parent-child interaction- 1:1 or group format to include recreational, educational, cultural or those that promote family engagement (3x per week for TPP DSA and minimally once weekly for NB and DVSS DSA).

· Follow and encourage the programs daily schedule and facilitate resident participation and community responsibilities, taking into account individualized plans for each participant.

· Ongoing individual resident support with 85% of time on shift in direct service role providing face to face contact and interaction with participant’s and their children in order to support.

· Ensure program procedures, rules, regulations and policies are followed to ensure a safe and supportive living environment including completion of 100% of all required safety sweeps (minimum of four times) each shift to ensure premises including alarms, doors, windows, appliances and bedrooms are all safe.

· To facilitate integration into the program, provide orientation and emotional support to participants upon arrival and complete intake paperwork with 100% of participants within 24 hours of arrival.

· To ensure participants are properly welcomed to the program, prepares rooms for new families within 1-2 shifts from previous exit.

· Provide daily information as it relates to data collection and outcome measurements through the completion of 100% of Client Track Services logs prior to end of shift.

· Required documentation and daily program communication including case notes, resident files and communication logs, completing 100% of all documentation prior to the end of shift.

· Perform regular job duties to be observed by new staff during the job shadowing portion of program orientation.

· Engage with residents at 100% of all meal times and ensure that participants clean up the dining area prior to leaving as well as kitchen prior to cooking.

· Ensure thorough communication of staff from shift to shift.

· Assist with child care as needed to support service planning goal activities completion.

· To support children’s safety and well-being, ensure mothers supervise children at all times and offer support to moms during a crisis or periods where they may be overwhelmed.

· Conducts safety checks on residents and children as needed and completes 100% of all required safety checks.

· Answer phones and provide information and referral; answer hotline as needed (DVSS DSA’s only).

· Attend scheduled staff meetings, supervision and trainings as required.

· Responsible for maintenance and upkeep of the facility and property (including, but not limited to: vacuuming, laundry, loading/unloading groceries, shoveling, raking, mopping, preparation of bedrooms) including ensuring 100% of chores were completed properly before signing off on the chore list.

· Provide transportation to residents and adhere to all safety laws/policies regarding seat belts, car seat requirements and speed limits at all times to include ratio of 1:5 (ratio applies to TPP only).

· Complete 100% of urine screen collections on designated days for collection assigned by DCS.(applies to NB DSA only).

· Perform other related duties as needed.

Qualifications 

  • A.A. or equivalent education or experience in a human service field;
  • One year of counseling and direct service experience;

  • Complete all required paperwork and maintain client records;
  • Attend monthly staff meetings;

Position Purpose:

The Administrative Assistant/Receptionist serves as the first point of agency representation to prospective clients, guests, and other community stakeholders. This position serves as an additional source of administrative support to the Executive Director while working closely with Operations and Programs to support the day-to-day coordination of administrative tasks.

 

Essential Responsibilities:

  • Open and close the administrative offices of the YW’s Springfield campus.
  • Greet visitors and clients.
  • Transfer all incoming calls and faxes to the appropriate person/program.
  • Log, track, and report client interactions.
  • Ensure client access to program brochures and other agency communications as appropriate.
  • Perform clerical duties in support of the agency’s copying, collating, and meeting room scheduling and set-up needs.
  • Assist with the receipt, storage, and distribution of in-kind donations.
  • Prepare outgoing and distribute incoming mail.
  • Ensure adequate supplies for the front office, boardroom, and office equipment (e.g., copiers, postage meters).
  • Arrange for the annual postage meter inspection.
  • Maintain appearance of front desk and lobby.

Qualifications:

Position Purpose

The Domestic Violence Services Counselor provides emotional support, individual counseling, safety planning, court advocacy, options counseling, and support groups to survivors of domestic violence. The position also supports community outreach and education efforts.

Essential Responsibilities

  • Provide individual counseling to survivors of domestic violence in English and/or Spanish for 5-8 sessions with a focus on safety planning and options to satisfy survivor-identified immediate needs.
  • Conduct 2-3 community groups for survivors of domestic violence and survivors of domestic violence with co-occurring/compounding trauma- including a drop-in group and DCF-mandated group.
  • Initiate contact with outside providers and maintain a working relationship.
  • Make appropriate internal and external referrals and follow-up with clients.
  • Complete accurate and timely documentation of services including intakes, assessments, and safety plans using the agency’s Apricot system and manual filing system while adhering to confidentiality standards.
  • Maintain and continually update client records and program files.
  • Complete monthly data collection requirements.
  • Provide court accompaniment to participants as necessary.

Training Requirements:

Qualifications

Residential Programs SHP

Position Purpose

The Support Specialist ensures the daily operations of the YWCA’s Supportive Housing Program, a 24- month residential program for survivors of domestic and sexual violence, dating violence, and/or stalking. The Support Specialist plans, provides, facilitates, and/or coordinates services to 20 residential families. Working directly with residents, the Support Specialist provides support, safety planning, crisis intervention, and options counseling.

 

Essential Responsibilities

  • Deliver ongoing case management, advocacy, support, and referrals for all residents; Develop respectful, supportive, trauma-informed relationships with residents while mentoring participants on a range of topics including, but not limited to, the following: tenant law, financial education, employment, housing, and self-care.
  • Utilize the All-State financial literacy curriculum.
  • Empower residents to create individualized goals, which support their ultimate transition to permanent housing;
  • Make referrals to project partners for needs ranging from child care, to vocational training, to substance abuse and mental health counseling;
  • Build relationships with organizations outside of partner agencies that can meet other needs of SHP residents in an ongoing basis;
  • Complete individualized re-housing plans within 2 weeks of program entry using various assessment tools;
  • In creating re-housing plans, make a referral to the YW’s Coordinated Entry program, which acts as the gateway to housing resources for DV survivors in Hampden County.
  • With client’s explicit consent, call together a multidisciplinary team of the Coordinated Entry staff and relevant project partners, pending the resident’s needs, to determine a cohesive approach to meet the holistic needs of each residents. The Support Specialist will convene these meetings and manage releases of information. The resident will be present at these multidisciplinary meetings;
  • Serve in an-on call capacity, in addition to the Director of Adult Residential Services, to respond to emergencies in the THP program, responding when needed to crises as needed;
  • Collaborate with DCF, community-based providers, and other organizational partners in support of a strengths-based approach to service planning;
  • Propose and implement approved program enhancements;
  • Enroll and exit tenants and their children in the YW’s client information management system within 24 hours of the precipitating event;
  • Regularly provide transportation to tenants;
  • Ensure children are enrolled in school and daycare programs;
  • Evaluate, document, and report resident and program outcomes;
  • Attend biweekly case review and supervision meetings;
  • Maintain thorough, accurate, and timely client records and files in the YWCA’s data management system;
  • Contribute, as requested, to program reports and funding applications;
  • Perform other duties as requested.

Position Purpose

The Direct Service Advocate (DSA) is responsible for providing support, advocacy and role modeling to adult, teen, and child program participants living in the YWCA’s residential programs. DSA’s are part of a team model working with peers, supervisors, clinicians and outside connections to best serve program participants. DSA’s support the agency mission and trauma informed service model in order to provide safe, consistent and quality services to vulnerable populations.

Essential Responsibilities

  • Conduct shelter screenings and intakes as needed.
  • Provide crisis intervention as needed.
  • Help residents become acquainted with shelter and other residents upon arrival.
  • Provide counseling to resident upon arrival and as needed throughout their stay.
  • Responsible for maintenance and upkeep of the facility and property (including, but not limited to:  vacuuming, laundry, shoveling, mopping).
  • Ensure residents are following shelter schedule, including wake up times as applicable.
  • Enforce shelter rules and guidelines.
  • Engage with residents at meal time and ensure that residents clean up their area prior to leaving dining area.
  • Ensure completion of chores as applicable.
  • Complete all required paperwork and maintain client records.
  • Attend monthly staff meetings.
  • Provide transportation to residents and adhere to all safety laws/policies regarding seat belts, car seat requirements and speed limits at all times.
  • Perform other related duties as needed.

Qualifications 

  • Associate’s degree plus 1 – 3 years of experience in human services;
  • Experience working in residential setting preferred;
  • Familiarity with issues of domestic violence;
  • Experience with survivors of gender-based violence and exploitation;
  • Experience addressing the impacts of decisions and actions on multiple communities;
  • Understanding of both interpersonal and structural racism and bias;
  • Ability to represent agency from a management perspective in an active union environment;
  • Excellent written and organizational skills including computer skills;
  • Must be able to be covered by the agency’s insurance policy; and
  • Must be able to lift 40 lbs.

Summary

The Support Specialist is responsible for the case management responsibilities for DVSS. The position is responsible for resident advocacy, service coordination, and referral regarding life skills, employment, workplace readiness / training, housing, transportation, and community resources.  This role embraces a trauma-informed service model.

Essential Responsibilities

  • Coordinate referrals from DTA/DHCD and arrange transportation to the shelter.
  • Orient families to shelter operations by reviewing the placement agreement, policies, and other expectations within 24 hours of arrival.
  • Complete safety plans with residents within 3 days of arrival.
  • Complete individualized re-housing plans within 2 weeks while utilizing a housing assessment tool and self-sufficiency matrix.
  • Coordinate and deliver intensive assessment and case management to resident families with the goal of transition to permanent housing within 120 days.
  • Provide case management and advocacy for assigned caseload to all participants to include goal planning and service delivery. Assist residents not on case load as appropriate and in absence of their assigned Support Specialist.
  • Meet with residents on a weekly basis to gauge progress in support of residents’ self-identified goals and re-housing plans.
  • Collaborate with shelter staff to ensure consistent communication while promoting positive resident outcomes.
  • Assist with school / daycare enrollment for children in shelter.
  • Provide transportation to residents and adhere to all safety laws/policies regarding seat belts, car seat requirements and speed limits at all times.
  • Answer intake line as needed.
  • Provide follow-up services to families on caseload who exit shelter and remain in local community.
  • Ensure that resident files are complete and properly maintained.
  • Attend weekly case review and monthly staff meetings.
  • Read daily logs and maintain thorough client records / documentation.
  • Ensure data is entered into the Client Track system in a timely fashion.
  • Maintain the facility and property (including but not limited to vacuuming, laundry, loading/unloading groceries, shoveling, raking, mopping).
  • Perform other related duties as needed.

 

Qualifications

  • Associates Degree with 3 years of direct experience in human services field; Bachelor’s with 1 year direct experience in human services field preferred.
  • Residential experience and experience with adolescents and/or young parents and children preferred;
  • Bi-lingual (Spanish/English) language proficiency preferred;
  • Strong teamwork, organizational and communication skills;
  • Knowledge of/contacts with community agencies;
  • Valid driver’s license and reliable transportation; and
  • Ability to lift up to 40 lbs.
